Retreat Terms & Conditions

1. Booking & Payment

  • A non-refundable deposit (typically £100pp) is required at the time of booking to secure your place.

  • The balance must be paid no later than 6–8 weeks before the Retreat start date. Unpaid balances may result in cancellation and your place offered to someone else.

  • Payment in instalments is available by prior arrangement, but the total must be paid by the final due date.

  • Accepted payment methods: bank transfer or PayPal.

2. Cancellations & Refund Policy

If You Cancel:

  • If your place is successfully re-filled (from the waiting list or your own referral), you’ll receive a full refund minus a £50 admin fee.

  • In some circumstances, I may offer credit toward a future Retreat or Workshop at my discretion.

Notice Given Before Start Date:

If you cancel more than 8 weeks before the retreat, you’ll receive a full refund minus the £100 deposit (or a full refund if your place is filled, minus a £50 admin fee).

Cancellations made 4–8 weeks before the retreat will receive a 50% refund (or a full refund if your place is filled, minus a £50 admin fee).

Cancellations made less than 4 weeks before the retreat are non-refundable unless your place can be filled as above.

3. If I Have to Cancel

  • In the unlikely event I need to cancel, you will receive a full refund including your deposit.

  • However, I cannot be responsible for any additional costs you may have incurred (e.g. travel, extra accommodation)…so participants are advised to consider travel insurance where appropriate.

  • Alternatively, you may choose to transfer your payment to a rescheduled or alternative date.

  • In rare circumstances, I may need to cancel a retreat place that has been booked. This would only happen if

    • I am unable to meet a participants essential requirements (such as medical or dietary needs)

    • Unexpected personal or venue circumstances arise

    • Or for reasons that would prevent me from delivering the retreat as advertised for that individual.

4. Force Majeure

As the organiser I am not liable for any delays, alteration, or cancellations due to circumstances beyond reasonable control, including, but not limited to natural disasters, war, acts of terrorism, industrial action, pandemics, or government restrictions.

5. Travel & Insurance

  • I would strongly advise travel insurance that covers cancellations and personal belongings.

  • I am not responsible for travel, accommodation, or other expenses incurred outside the Retreat fee in the event of cancellation or changes..

6. Retreat Experience

  • Accommodation, meals, and tuition are included as detailed in your booking.

  • Respectful and co-operative behaviour is expected from all participants.

  • I reserve the right to ask a person to leave (without refund) if behaviour is disruptive, abusive, or unsafe.

7. Health & Accessibility

  • Please inform me in advance of any health, mobility, or dietary requirements.

  • All participants must comply with the venues health and safety regulations, and any instructions given by myself or venue staff.

  • Some venues may have limited accessibility —if this is the case I will provide details before booking.

8. Venue & Property

  • All participants are responsible for any damage caused to the venue, facilities, or equipment during their stay, and may be charged accordingly.

  • I am not responsible or liable for loss, theft, or damage to personal belongings.

9. Materials & Equipment

  • You are required to bring your own art materials for use during the Retreat, but any hazardous items such as strong solvents or flammable substances are not permitted.

  • You will receive a list of recommended materials to bring with you prior to the Retreat.

  • I may supply additional materials if needed for specific techniques.

10. Food & Drink

  • Meals will be provided as specified in the Retreat details.

  • Please advise of dietary requirements prior to booking.

  • I aim to provide nourishing, home-cooked meals that are inclusive and varied, and I am happy to accommodate common dietary preferences such as vegetarian, vegan or simple gluten-free. However, I’m not a professional chef and I cannot guarantee a certified allergen-free kitchen at Retreat venues or correct levels of cross-contamination control. For this reason, I am unable to cater for very strict medical diets, such as those required for coeliac disease or severe food allergies. If you have specific dietary requirements, please contact me before booking to discuss. In cases where I cannot reasonably meet those needs, I reserve the right to decline or cancel the booking with a full refund. This insures the retreat remains safe, comfortable, and enjoyable for everyone.

  • Personal food/drink may be brought into creative spaces, unless restricted by venue regulations.

11. Timekeeping

  • Please arrive at the time specified, and not beforehand to ensure the venue is ready and allow for my own preparation. to welcome you to the Retreat

  • Departure time is stipulated by the venue and will be confirmed to you in advance.

12. Photography & Intellectual Property

  • I may take photos during the Retreat for promotional use — let me know in advance if you prefer not to be included.

  • You are welcome to take photos for personal use but must credit the artist/teacher when sharing or publishing publicly, in respect for that persons intellectual property.

  • All Retreat and Workshop content, demonstrations and teaching materials remain the intellectual property of me (the artist/teacher) and cannot be reproduced, copied or used to lead other teaching activities without my written permission.

13. Minimum Attendance

If minimum numbers are not met, I may need to cancel or postpone with a full refund or offer an alternative date.

14. Programme Changes

I reserve the right to adjust programme content or timings where necessary, while maintaining overall quality and value of the Retreat

15. Waiver of Liability

By attending, you acknowledge the inherent risks involved in creative and related physical activities, and agree that I (the organiser) shall not be liable for injury, illness, damage, loss, accident or delays except where caused by proven negligence. This does not exclude liability for matters that cannot legally be excluded under UK law.

16. Indemnity

Participants agree to indemnify and hold harmless me (the organiser) from any claims, liability, damages, or expenses resulting from actions, behaviour, or conduct that causes injury or damage to others during the Retreat.

17. Governing Law

These Terms & Conditions shall be governed by and construed in accordance with the laws of England and Wales. Any disputes will be subject to the jurisdiction of the UK courts.

By booking a place on the Retreat, you agree to these Terms & Conditions.
